Flo & Tell Live 2026: From Set-Up to Sign-Off: Best Practices for DOA and eLogs

DOA and eLogs sound simple until you’re the one keeping them inspection-ready every day. In this Flo & Tell Live session, we’re bringing sites together to talk through how they approach setup, maintenance, and the small habits that keep logs accurate without becoming a full-time job. Hear what’s working, what’s been a struggle, and how teams get logs to feel like part of the normal workflow instead of an extra chore.

Looking forward to discussing “From Set-Up to Sign-Off: Best Practices for DOA and eLogs” at Research Revolution! A few of the talking points I’ll be bringing:

  • Logs we use and support: Delegation of authority, training, screening and enrollment, protocol deviation, adverse event, and monitoring visit logs, depending on the study’s needs. Setup includes making sure tasks, dates, and signature expectations are clear. (Sharing templates as well!)

  • Encouraging adoption: Help teams see how eLogs fit into their daily work. Practical examples, quick guides, and hands-on support can make the transition less intimidating. Training should explain what an entry or signature means and how changes affect the record.

  • Sponsor and CRO template concerns: Address differences early by comparing the information and approvals each template captures. Walk through the electronic workflow, audit trail, and exported record so everyone understands how the study’s documentation needs will be met. Resolve genuine gaps and document the agreed approach.

  • Scaling across teams: Use centrally maintained, reusable templates with consistent fields and instructions, while allowing for study-specific needs. Clear ownership for template updates, training, and ongoing log maintenance helps teams build on the same foundation.

  • Moving from paper to electronic: Start with a manageable workflow, involve the people who will use it, and work through the full process before expanding. Define the transition point and preserve historical records. Include training on edits, row signatures, version history, and finalization. One point I always emphasize: a downloaded log is a snapshot of that moment; the live log can continue to change.

Northeast Georgia is in our compliance era. I’ll be sharing our fearless tips and tricks to approach study start up, maintenance, and vendor fatigue. Our team has built a reputation for using Florence to create more ease and flexibility around complex clinical trial studies.

Here’s what is working for us:

Paper Logs, we are never ever getting back together. I’ll be sharing our success story of how we left paper logs in the past by onboarding all new provider/site staff to Florence during the research credentialing process. Our team practices signing elogs which builds user confidence before the study begins. Paper logs never even had a chance!

Compliance never goes out of style. During study start up, we strategize how to integrate Florence into existing work flows such as protocol and vendor training, safety reporting, and monitoring. I’ll talk about how to normalize Florence so that it doesn’t feel like just another document drop box.

Shake it Off. Hear how we navigate complex challenges and accelerate success by building your team of super users and physician champions. Keep clinical operations cruising and moving through challenging seasons by requesting enhancements and checking in with your Florence customer success team.
